Position Overview
The Client Relations Specialist is responsible for managing and facilitating customer service inquiries, supporting team members, and executing special projects as assigned by management. This role offers a competitive hourly wage and eligibility for various incentive programs. Key Responsibilities
- Responds to incoming calls and addresses resident inquiries with professionalism and courtesy.
- Processes maintenance requests and ensures timely follow-up to confirm resolution of issues.
- Coordinates special services for residents, such as mail collection and pet care.
- Maintains an updated directory of local amenities and services to assist residents.
- Tracks and documents resident communications, including follow-ups and service requests.
- Curates promotional materials and encourages community engagement.
- Organizes resident events and activities, ensuring smooth execution and participation.
- Facilitates ticket purchases and reservations for residents as needed.
- Handles package deliveries and assists residents with receiving items.
- Provides referrals for external services to enhance resident satisfaction.
- Collaborates with the marketing team to promote community events.
- Utilizes software tools to create newsletters and other communications for residents.
- Assists in maintaining key control and data entry in compliance with company policies.
- Develops relationships with local vendors and service providers.
- Manages hospitality supplies within budgetary constraints.
- Regularly reviews relevant online resources for resident information.
- Operates property management software effectively.
- Assists with property tours and leasing activities as directed.
- Addresses resident concerns and escalates issues when necessary.
- Performs additional duties as assigned, which may vary based on community size.
- Exhibits professionalism, integrity, and confidentiality in all interactions.
- Possesses strong written and verbal communication skills.
- Demonstrates effective time management and organizational abilities.
- Prior customer service experience in property management, hospitality, or retail is preferred.
- Proficient in Microsoft Office Suite; familiarity with property management software is a plus.
- High School Diploma or equivalent is required.
The Client Relations Specialist operates on-site and interacts regularly with residents, vendors, and internal teams. The work schedule may vary based on community needs, including weekend availability.
Physical Requirements
In this role, the employee may frequently stand, walk, sit, and use hands for various tasks. Lifting or moving items up to 25 pounds may be required, and occasional driving may be necessary.
