Position Overview:


The Senior Executive Assistant provides comprehensive, confidential administrative support to a Vice President within the organization, while also facilitating the provider credentialing process through Medical Affairs.


Qualifications:

ADDITIONAL REQUIREMENTS
Utilization of standard office equipment necessary for fulfilling the essential functions of the role.
Occasional travel to various facilities may be required.
Must possess a valid driver's license for business-related travel.

SKILLS AND COMPETENCIES

Proficient English Skills: Advanced reading and writing capabilities, basic oral communication skills, and effective interpersonal communication. Ability to interact with diverse individuals while maintaining confidentiality and professionalism. Capable of conveying essential information accurately and respectfully.

Computer Proficiency: Intermediate knowledge of computer systems, including troubleshooting minor issues within a Windows environment, and adeptness in using spreadsheet, database, word processing, and internet applications.



Key Responsibilities:

  • Deliver high-level administrative support
  • Independently manage and complete tasks efficiently and punctually
  • Compose letters, memos, and other documents in a professional format
  • Sort and prioritize incoming mail for appropriate routing
  • Perform receptionist duties, welcoming visitors and providing guidance
  • Prepare copies of documents and retrieve necessary information
  • Ensure timely follow-up on tasks and adherence to deadlines
  • Exhibit initiative in organizing and prioritizing work for optimal workflow
  • Meet urgent deadlines effectively
  • Uphold confidentiality and discretion in all matters
  • Maintain organized files and records, ensuring accessibility
  • Coordinate and schedule appointments and meetings
  • Document all appointments and communicate details to relevant parties
  • Remind executives of upcoming meetings and ensure preparation materials are ready
  • Address scheduling conflicts and arrange necessary coverage
  • Attend meetings as required
  • Exercise sound judgment in screening calls and prioritizing messages
  • Communicate effectively with a diverse range of individuals
  • Support Medical Staff Affairs by collecting data and maintaining provider applications
  • Stay informed about the latest technology in credentialing software
  • Facilitate timely collection of credentialing data from medical staff
  • Notify providers of upcoming expirations to ensure compliance
  • Gather and present quality improvement data for provider reappointments
  • Inform providers regarding the outcomes of evaluations
  • Manage security requests and updates for all medical professionals
  • Complete special projects as assigned by Senior VPs
  • Issue access badges as necessary
  • Generate reports as requested
  • Process payroll bi-weekly for relevant departments
  • Order supplies necessary for daily office operations in a timely manner
