We are seeking a detail-oriented Office Systems Administrator to join our client's IT department. In this role, you'll be responsible for ensuring the efficient management of our office systems, with a strong focus on editing, saving, and organizing documents. You will work closely with our document management systems to maintain accurate records and assist the team with troubleshooting, training, and general administrative support.

Key Responsibilities:

  • Data Entry & Document Management: Accurately input data into office systems and manage documents effectively, ensuring they are properly saved, organized, and easily accessible.
  • Document Editing: Review, edit, and proofread documents for accuracy, grammar, and formatting, ensuring compliance with company standards.
  • Form Creation: Develop and update forms within document management systems like NetDocs and ProLaw. Experience with MS Forms is an advantage.
  • Troubleshooting: Provide first-level troubleshooting for office systems and document management software, resolving issues or escalating when necessary.
  • Training Support: Help onboard and train new team members on office systems and document management processes, providing hands-on guidance.
  • General Office Support: Assist with administrative tasks, including contact entries and ProLaw support, ensuring smooth office operations.

Required Skills and Qualifications:

  • 3-5 years of experience in an administrative or office systems role (legal industry experience preferred but not mandatory).
  • Strong experience in editing, saving, and managing documents within document management systems.
  • Strong data entry skills with excellent attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with Adobe Acrobat Pro and form creation, with NetDocs experience considered a plus.
  • Effective troubleshooting skills and a willingness to learn new systems.
  • Strong written and verbal communication abilities.
  • Capable of training and guiding others on system processes.
  • Strong proofreading skills with a focus on grammar and formatting.
  • Prior experience in a fast-paced office environment.
  • A customer-focused mindset with a positive attitude and teamwork spirit.
  • Ability to manage multiple priorities and tasks efficiently.
