We are seeking an Administrative Assistant who is enthusiastic, thrives in a collaborative environment, and maintains a positive outlook. This individual should possess a strong sense of urgency while ensuring high-quality outcomes. They should embody the skills, attitude, and habits of a high performer, dedicated to the success of the team.

The ideal candidate will be meticulous, detail-oriented, and committed to effective communication. They should be versatile and willing to assist with various projects as needed, ensuring that the agents can concentrate on their core responsibilities.


Key Responsibilities:
As an Administrative Assistant, you will be expected to uphold the following standards:
  • Deliver exceptional customer service.
  • Communicate effectively with the team in a timely manner.
  • Resolve issues promptly and efficiently.

Essential Duties:
  • Welcome clients, manage phone calls, and conduct follow-ups.
  • Provide support to both new and existing clients, as well as external service providers.
  • Engage with potential clients through various communication channels to address their real estate needs.
  • Offer concierge-level service to clients, fostering long-term relationships.
  • Manage database entries, set up email campaigns, and handle print communications.
  • Assist with the preparation and organization of team listings.
  • Monitor team listings and document new construction projects.
  • Support logistical tasks, including supply pickups and other errands.
  • Occasionally attend client inspections or walkthroughs as needed.
  • Assist with contract-related tasks, including obtaining quotes and managing documentation.
  • Coordinate showings and relay information to clients.
  • Support open houses and gather feedback.
  • Contribute to marketing efforts, including material preparation and social media management.
  • Help implement and maintain organizational systems for client management and back-office support.
  • Prepare correspondence, arrange meetings, and coordinate travel plans.

Communication:
Daily interactions with the Lead Agent, Team Agents, and Director of Operations, as well as occasional contact with buyers, sellers, and vendors.

Qualifications:
  • Strong rapport-building skills.
  • People-oriented with excellent communication abilities.
  • Good organizational skills and a desire to learn.
  • Reliable transportation and the ability to travel as needed.
  • Access to a working computer and phone.
  • Ability to lift up to 50 pounds occasionally.
  • High School Diploma or equivalent experience.

Work Schedule:
Establish a weekly schedule with the Team Lead to prioritize tasks, with flexibility allowed as needed. Expect approximately 36 hours of work per week, with potential weekend hours required occasionally.

Compensation:
The annual salary for this position is $40,000, with opportunities for performance-based salary increases and bonuses. Additional benefits include sick pay, holiday pay, PTO, health premium reimbursement, and retirement plan options.
