Position Summary

The Patient Access Operations Coordinator embodies the mission, vision, and values of Northwestern Memorial Healthcare, adhering to our Code of Ethics and Corporate Compliance Program while ensuring compliance with all relevant policies and standards.

Key Responsibilities:
  • Facilitate training, performance evaluations, and employee relations.
  • Optimize staff scheduling and resource allocation to enhance patient access and operational efficiency.
  • Ensure staff access to necessary resources and provide coaching and mentoring.
  • Manage staff coverage across multiple locations to ensure optimal service delivery.
  • Identify and communicate key trends and issues to management.
  • Contribute to budget discussions and staffing strategies.
  • Conduct monthly attendance reviews for staff.
  • Monitor daily operations and performance metrics.
  • Support employee engagement initiatives.
  • Collaborate with team leaders to meet patient satisfaction objectives.
  • Lead training sessions to enhance employee skills.
  • Ensure compliance with personal conduct standards.
  • Promote a collaborative approach to patient care and problem-solving.
  • Develop tools to improve staff efficiency.
  • Assist in staff performance evaluations.
  • Review and approve time reports for accuracy.
  • Complete additional tasks as assigned by management.
  • Assess and communicate staff development needs.
  • Motivate and develop staff to achieve departmental goals.
  • Manage routine technical needs of the unit.
  • Compile departmental reporting information.
  • Monitor compliance with operational procedures.
  • Investigate and implement new tools to enhance productivity and service quality.
  • Ensure thorough preparation for patient visits.
  • Collect and verify essential registration data.
  • Understand and meet departmental quality metrics.
  • Analyze account activity to resolve issues.
  • Participate in quality improvement initiatives.
  • Suggest process enhancements to improve service and efficiency.
  • Utilize organizational resources effectively.
  • Serve as a training resource for new staff.
Qualifications

Required:

  • Four to seven years of experience in a healthcare or customer service environment.
  • Strong verbal communication and problem-solving skills.
  • Favorable performance reviews if previously employed internally.
  • Proficiency in English communication.
  • Basic computer skills and typing ability of 40 wpm.
  • Strong organizational and time management skills.
  • Customer service-oriented mindset.

Preferred:

  • Leadership and planning skills.
  • Proficiency in Microsoft Office Suite.
  • Exceptional interpersonal communication abilities.
  • Experience in training and development.
  • Demonstrated problem-solving capabilities.
  • Supervisory experience.
