Job Description

As a Development Coordinator/Office Manager at Michael Page, you will play a crucial role in supporting the success of our clients in the multifamily real estate industry. Your primary responsibilities will include managing invoice processing, verifying payment requests, coordinating draw documents, auditing and updating budgets, and ensuring compliance with contracts.

Responsibilities:
  • Manage Invoice Processing: Upload and oversee weekly overhead invoices, monthly consultant invoices, and special check requests into the payables system, ensuring timely payments.
  • Verify Payment Requests: Review all payable requests to confirm their accuracy, budget compliance, and correct coding.
  • Coordinate Draw Documents: Review and distribute monthly draw documents, ensuring all necessary information is communicated effectively.
  • Audit and Update Budgets: Audit job cost reports for any discrepancies or overruns and revise project budgets as necessary in collaboration with the project manager.
  • Ensure Compliance with Contracts: Review consultant proposals and contracts for completeness, ensuring that all terms are met before processing payments and change orders.

Requirements:
  • Experience: Over 5 years of administrative support experience for senior-level professionals, ideally in real estate, accounting, construction, project management, or a related area.
  • Skills: Strong communication, time management, and organizational abilities, with a proven capacity to prioritize tasks and proactively address the needs of multiple managers with enthusiasm and initiative.
  • Technical Proficiency: Required proficiency in Microsoft Excel, Outlook, and Word. Familiarity with Timberline and/or Yardi accounting software is a plus.
  • Interpersonal Skills: Consistently demonstrates positive interactions with both internal teams and external partners.
