Job Summary

The Office/Ad Operations Administrator serves as the primary point of contact for the company, managing front office reception and various administrative tasks. This role is responsible for preparing and delivering proof of performance documents related to campaign execution.

Key Responsibilities
  • Ensure timely delivery of proof of performance documents and photos for client and agency campaigns.
  • Address building issues promptly through company systems or established processes.
  • Manage and distribute communication materials, including contract announcements, company rosters, celebration notices, and office signage.
  • Maintain a clean, organized, and welcoming reception and common area environment.
  • Greet clients and visitors, providing assistance, information, and directions with a friendly and professional demeanor.
  • Handle incoming and outgoing mail, including coordinating deliveries and pickups with services like FedEx and UPS, and sorting and distributing mail.
  • Oversee the maintenance and functionality of office equipment, arranging repairs and managing supplies as needed.
  • Track and replenish office supplies to ensure stock levels meet the needs of the team.
Requirements
  • High school diploma, GED, or equivalent work or military experience.
  • Two (2) + years of related administrative work experience preferred.
  • Proficient in drafting clear and concise emails and other written communications.
  • Skilled in Microsoft Office applications, including Word, Excel, and Outlook.
  • Capable of effectively multitasking and prioritizing tasks independently.
  • Demonstrates excellent interpersonal skills.

Employee must have the ability to sit and/or stand at a desk for a minimum of 8 hours a day and complete tasks requiring repetitive use of hands.

Employee must have the ability to lift and move items up to fifteen (15) pounds.

Employee must have the ability to see written documents and computer screens, and to adjust focus.

This job is performed in a temperature-controlled office environment.
