About the Role

The Executive Assistant is a key member of the Transwestern team, providing high-level administrative support to senior leaders. This role requires exceptional organizational skills, attention to detail, and the ability to maintain confidentiality.

Key Responsibilities
  • Administrative Support: Provide administrative assistance to senior leaders, including calendar management, travel arrangements, and expense reporting.
  • Project Management: Assist with the implementation and administration of policies, procedures, and programs, ensuring seamless execution and timely completion.
  • Communication: Deliver exceptional customer service, interacting with tenants, owners, vendors, and fellow team members to ensure a positive experience.
  • Financial Analysis: Prepare and analyze financial reports, including portfolio rollups, budget analysis, and CAM reconciliation.
  • Human Resources: Assist with new hire paperwork, participate in HR initiatives, and maintain accurate records.
  • Database Management: Manage client and prospect databases, ensuring up-to-date information and accurate tracking.
  • Special Projects: Assist with special projects, including planning and coordinating presentations, disseminating information, and tracking national Transwestern initiatives.
Requirements
  • Education: Bachelor's degree in Business Management, Finance, Accounting, or a related field.
  • Experience: 3-4 years of prior office experience, with 3+ years of experience supporting an executive-level professional.
  • Skills: Advanced MS 365 Word, Outlook, Excel, and PowerPoint skills; typing speed of at least 60 words per minute; financial analysis software proficiency (Argus, MRI, and Skyline preferred).
  • Personal Qualities: Strong desire to succeed in an entrepreneurial environment; excellent spelling and grammar; good phone skills; organized; able to set priorities and meet deadlines; able to multitask; carefully proofs own work.
