Engineering Advancement Associate

The Commonwealth of Virginia is seeking an Advancement Coordinator to join the Engineering Advancement Team. This role will act as a primary support resource, providing essential administrative assistance for development and donor engagement initiatives.
Key Responsibilities:
- Offer comprehensive administrative and project support to the development team.
- Compose, produce, and review regular communications, including acknowledgment letters and emails directed to donors.
- Oversee scheduling and meeting arrangements for team members, which includes preparing materials for meetings and providing support during events.
- Coordinate and confirm travel logistics.
- Manage expense processing and reimbursements for the development team.
- Facilitate the creation of printed materials and presentations.
- Prepare documentation for donor visits and draft correspondence for donors.
- Generate recipient lists, giving reports, demographic data, and outcome measurement statistics, which includes maintaining and updating donor information and tracking events.
- Assist the development team with portfolio management and reporting utilizing relevant software tools.
- Conduct data entry and provide support for database management.
- Engage in training sessions, meetings, and cross-training opportunities.
- Stay informed of and adhere to current organizational policies and procedures.
- Communicate effectively with other internal groups and actively participate in the community of administrative professionals.
- Perform additional duties as assigned.
Required Qualifications:
- Education: High School Diploma or equivalent.
- Experience: Minimum of three years of relevant experience.
Preferred Qualifications:
- Bachelor's degree.
- Ability to navigate database systems and apply critical thinking and problem-solving skills.
- Demonstrated proficiency in oral and written communication, organizational skills, and customer service.
- Proficiency in Microsoft Office applications.
- Capacity to work independently, exercising sound judgment to overcome challenges and complete tasks with minimal supervision.
- Prior experience with CRM databases and marketing or event software.
