Position Overview:

The Commonwealth of Virginia is seeking an Advancement Coordinator to join the Engineering Advancement Team. This role will act as a primary support resource, providing essential administrative assistance for development and donor engagement initiatives.

Key Responsibilities:
  • Offer comprehensive administrative and project support to the development team.
  • Compose, produce, and review regular communications, including acknowledgment letters and emails directed to donors.
  • Oversee scheduling and meeting arrangements for team members, which includes preparing materials for meetings and providing support during events.
  • Coordinate and confirm travel logistics.
  • Manage expense processing and reimbursements for the development team.
  • Facilitate the creation of printed materials and presentations.
  • Prepare documentation for donor visits and draft correspondence for donors.
  • Generate recipient lists, giving reports, demographic data, and outcome measurement statistics, which includes maintaining and updating donor information and tracking events.
  • Assist the development team with portfolio management and reporting utilizing relevant software tools.
  • Conduct data entry and provide support for database management.
  • Engage in training sessions, meetings, and cross-training opportunities.
  • Stay informed of and adhere to current organizational policies and procedures.
  • Communicate effectively with other internal groups and actively participate in the community of administrative professionals.
  • Perform additional duties as assigned.

Required Qualifications:
  • Education: High School Diploma or equivalent.
  • Experience: Minimum of three years of relevant experience.

Preferred Qualifications:
  • Bachelor's degree.
  • Ability to navigate database systems and apply critical thinking and problem-solving skills.
  • Demonstrated proficiency in oral and written communication, organizational skills, and customer service.
  • Proficiency in Microsoft Office applications.
  • Capacity to work independently, exercising sound judgment to overcome challenges and complete tasks with minimal supervision.
  • Prior experience with CRM databases and marketing or event software.
