AHRC NYC is seeking an experienced Administrative Specialist to join our Organizational Learning department. This is an exciting opportunity for a detail-oriented and organized individual to provide administrative support for our training programs.
Key Responsibilities- Provide administrative support for training registration, including monitoring registration emails, verifying eligibility, and disseminating confirmations and reminders.
- Oversee course management and scheduling processes, including reviewing class enrollment and determining the appropriate course of action.
- Coordinate instructor scheduling, including scheduling instructors to teach, disseminating confirmations and reminders, and ensuring instructor-to-participant ratios are met.
- Manage training room assignments and scheduling, including setting up routine and ad hoc training room calendars and communicating training room assignments to relevant staff.
- Conduct timely and accurate tracking of instructor payments, IAC training registrations and payments, and Incident Review training follow-up.
- Provide backup support on tasks related to training room scheduling, room setup, and receptionist duties as needed.
To be successful in this role, you will need:
- Excellent organizational and communication skills.
- Ability to work in a fast-paced environment and prioritize multiple tasks.
- Strong attention to detail and ability to maintain accurate records.
- Experience with administrative software and systems.
