Job Summary

Advocates for Children of New York is seeking a highly organized and detail-oriented Administrative Assistant to support the Postsecondary Readiness Project (PReP) and enhance organizational processes. The successful candidate will provide administrative support to the Executive Director and Operations Team, ensuring seamless day-to-day operations.

Key Responsibilities
  • Coordinate meetings, events, and logistics for PReP's Transition Alliance, government entities, and external stakeholders.
  • Track completion of action items and deliverables, ensuring timely follow-up with internal and external stakeholders.
  • Organize and maintain electronic files, including essential documentation of Transition Alliance activities and outcomes.
  • Develop and maintain a comprehensive directory of transition services and resources for NYC students and families.
  • Prepare and compile documents, materials, and presentations for PReP community fairs, policy campaigns, and legal hearings.
  • Support legal cases by entering and maintaining case notes in Salesforce.
  • Provide administrative support to the Executive Director, including Board relations and scheduling.
  • Prepare minutes for Board and committee meetings.
  • Collaborate with other Administrative Assistants to manage front desk operations.
Requirements
  • Understanding of and alignment with AFC's mission.
  • 1-2 years of administrative experience in non-profit organizations.
  • High School diploma/GED required; 2-year or 4-year college degree preferred.
  • Excellent customer service and interpersonal skills.
  • Strong writing and active listening skills.
  • Well-organized with the ability to complete tasks, work on multiple priorities, and meet deadlines.
  • Ability to work independently and collaboratively, with attention to detail.
  • Comfortable with technology and able to learn new applications.
  • Desire to learn and apply diversity, equity, inclusion, and anti-racism principles.
