Job OverviewAtria Senior Living seeks an experienced Administrative Coordinator to join our team. In this role, you will provide exceptional customer service, manage office operations, and support the community's daily activities.

In terms of compensation, the estimated annual salary for this position is around $42,000 - $55,000, depending on location and experience. Additionally, Atria Senior Living offers a comprehensive benefits package, including health, dental, and vision insurance, as well as a 401(k) employer match.

Duties and ResponsibilitiesAs an Administrative Coordinator at Atria Senior Living, your key responsibilities will include:
  • Answering incoming calls in a cheerful and marketing-oriented manner, determining the purpose of callers, and forwarding calls to the appropriate personnel or department.
  • Retrieving messages from voicemail and forwarding them to the relevant staff members.
  • Taking and delivering messages or transferring calls to voicemail when necessary.
  • Providing general information about the community, including address, directions, and other details, and referring specific questions to the appropriate staff.
  • Welcome on-site visitors, determine the nature of their business, and announce them to the relevant personnel.
  • Coordinate guest room reservations.
  • Maintain a current list of residents who are hospitalized.
  • Update appointment calendars, including transportation and beauty schedules, as directed.
  • Receive, sort, and route mail, and maintain and distribute publications.
  • Distribute written communication, accept deliveries (mail, prescriptions, etc.), and sign for them.
  • Maintain copy and fax machines, assist users, send faxes, and retrieve and route incoming faxes.
  • Create and print fax cover sheets, memos, correspondence, reports, and other documents when necessary.
  • Perform other clerical duties as needed, such as filing, photocopying, and collating.
  • Order, receive, and maintain office supplies.
  • Collect rent checks from residents and family members and provide necessary information to bookkeeping for billing.
  • Collect money for store purchases and meal tickets, etc.
  • May drive a company vehicle from the community to social events and other destinations (if required by the community).

Requirements and QualificationsTo be successful in this role, you should possess:
  • A high school diploma or equivalent, or one to three years of related experience and/or training.
  • Basic First Aid and CPR certification where required.
  • The ability to read and comprehend simple instructions, short correspondence, and memos. You should also be able to write simple correspondence and effectively present information in one-on-one and small group situations.
  • The ability to add and subtract two-digit numbers and multiply and divide with 10's and 100's.
  • The ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. You should also be able to deal with problems involving a few concrete variables in standardized situations.
  • The ability to operate a telephone, emergency call system, monitoring board or beeper, photocopier, and work various schedules and shifts as needed.
