Office Administrator Professional

Salary & Benefits:
A competitive salary of $55,000 per year, BOE, plus comprehensive benefits package including medical insurance, dental/vision insurance, life & personal accident insurance, short-term disability insurance & long-term disability insurance, FSA, HSA or Dependent Care FSA, 401(k) Plan with company matching, paid time off (PTO) and paid holidays.
About the Position:
The Branch Office Administrator plays a crucial role in ensuring exceptional client experience. This position entails maintaining administrative organization of the office and interacting warmly with clients. Strong interpersonal skills are required for phone and in-person interactions.
Responsibilities:
- Greet clients at the front desk, be engaging, and offer refreshments
- Answer phones and transfer calls to the correct contacts
- Schedule client reviews through Salesforce workflow, coordinate appointment priorities with advisors, and update systems accordingly
- Manage conference room scheduling
- Coordinate with Client Service team members and advisors on action items from client review meetings
- Confirm appointments using appropriate software
- Receive, log, and distribute all mail, FedEx, UPS, and general deliveries
- Serve as point-of-contact with Building Maintenance for any office servicing needs
- Coordinate maintenance on office equipment with vendors as needed
- Order and maintain office supplies and workroom
- Maintain and stock breakroom, reception area, and conference rooms with refreshments
- Assist with event planning and arrange hospitality services for in-office meetings
- Work on special projects
- Send client gifts as requested by team members
- Assist with branch compliance files
- Help coordinate technology needs of the branch
Qualifications:
- A minimum of 1-2 years of front office experience
- Ability to organize, prioritize, and handle multiple tasks
- Effective written and verbal communication skills
- Excellent teamwork and time management skills
- Energetic, outgoing personality while interacting with guests and team members
- Ability to act with integrity, professionalism, and confidentiality
- Proficiency with Microsoft Office Suite or related software
