Job Description

We are seeking a highly skilled and dedicated professional to join our team as a Talent/Event Coordinator. This role involves a unique blend of talent buying and artist relations, as well as seamless event coordination from concept to cleanup.

Key Responsibilities
  • Assist with talent bookings and tours for national recording artists at various venues, conferences, festivals, and events.
  • Develop and maintain relationships with artists, venues, and tour managers to ensure smooth event execution.
  • Coordinate travel and logistics for managed artists, including airfare, ground transportation, and accommodations.
  • Manage artist calendars, including pending and confirmed events, and ensure timely compensation for artists.
  • Assist with back-of-house duties at music festivals, including stage management, equipment logistics, and coordinating hospitality.
  • Co-coordinate marketing efforts for events in collaboration with the PR and Marketing department.
  • Build and maintain relationships with clients, pitch talent to venues, and expand the network of venues.
  • Develop a strong understanding of local, state, and venue-specific permits and licensing prerequisites for events.
  • Assist in the planning and execution of a minimum of 5 events annually, ranging from 50 to 45,000 people, ensuring seamless coordination from concept to cleanup.
  • Handle administrative tasks, including file maintenance, calendar organization, order placements, and vendor monitoring.
  • Develop event proposals, participate in client presentations, and contribute to the creative aspects of event planning.
  • Research and implement themes, décor, and entertainment ideas for events.
  • Coordinate with the Event department to align event planning with talent booking.
  • Attend weekly internal & client meetings as required.
  • Exhibit a strong sense of budget management.
  • Foster and cultivate client and vendor relationships.
  • Implement social media and marketing strategies for events when applicable.
Requirements
  • Preferred but not required: Bachelor's degree or experience in Talent Management, Artist Management, Talent Booking, Event Management, Hospitality, Business, or related field.
  • 1 or more years of experience in either event planning or entertainment booking.
  • Strong dedication to and understanding of the event and entertainment industry.
  • Availability to work flexible hours, including weekends, holidays, and evenings.
  • Availability for travel and onsite event management.
  • Ability to lift up to 25 lbs.
  • Proficient in Word, Excel, PowerPoint, Outlook, Google Docs, and Email Management.
