Job Summary

The Front Office Assistant position provides an entry-level direct customer service to patients. This role is responsible for greeting patients, answering phone calls, and performing various administrative tasks to ensure a smooth and efficient patient experience.

Key Responsibilities
  • Greet patients and offer assistance with questions or direct them to the appropriate person or location
  • Answer phone calls, establish the reason for the call, and resolve issues or refer to the appropriate person
  • Maintain and distribute patient documentation in an organized manner
  • Accurately enter patient demographics and other required information into the practice management system
  • Obtain patient registration information and enter it into the computer system
  • Verify third-party payer coverage and billing information - insurance, etc.
  • Prepare and balance individual financial daily batches for processing
  • Accurately handle cash drawers and daily receipts
  • Schedule patient appointments for medical providers via the computerized PM
  • Scan documents into the electronic health record
  • Knowledge of and participate in Adelante UDS measures, meaningful use metrics, and other quality initiatives by assisting with audits and other data collection
Requirements
  • Certification to perform cardiopulmonary resuscitation for the Health Care Professional (CPR) and AED through courses that follow the guidelines from the American Heart Association and Red Cross (cognitive and skills evaluations)
  • Valid Level One Fingerprint Clearance Card issued by the Arizona Department of Public Safety for all specialty behavioral health locations
  • High school diploma or GED from an accredited institution
  • Effective communication demonstrated by the ability to read, interpret, comprehend, and comply with written and verbal communication
  • Proficient mathematical skills for use in a healthcare setting
  • Basic computer proficiency to include Windows, MS Office, and internet
  • Ability to problem-solve in situations both independently or with support from the team and/or leadership
  • Ability to multi-task and work effectively in a high-stress and fast-moving environment
  • Must have reliable transportation that can meet any operational reassignments of the organization during the workday. If the employee is driving during work hours, the employee is required to possess a valid driver's license and must be in compliance with Arizona vehicle insurance requirements
