Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at ACH Child and Family Services. The successful candidate will provide administrative support to our supervisor and staff, ensuring the smooth operation of our office.

Key Responsibilities
  • Administrative Support: Provide administrative support to supervisor and staff, including data entry, record-keeping, and correspondence.
  • Communication: Answer and screen telephone inquiries, take and route messages, and record intake information for referral to caseworkers.
  • Reporting and Record-Keeping: Prepare and maintain statistical reports, leave and personnel records, case control systems, case records, and related files for the unit.
  • Time Keeping and Purchasing: Function as the unit time keeper and process purchase orders as directed.
  • Correspondence and Documentation: Type correspondence, forms narratives, travel vouchers, meeting notes, performance evaluations, and other documents to support work of the unit and file related documents.
  • Program and Agency Information: Provide program and agency information and/or make referrals to other community resources.
  • Customer Service: Greet visitors, respond to general questions, and direct callers to proper location.
Requirements
  • Education: High School Diploma, or equivalent.
  • Experience: One year of full-time administrative support, general office, clerical, secretarial, or Texas Department of family and Protective Services experience.
  • Functional Skills: Knowledge of basic computer functions, skills in using Microsoft Works or Windows environment, skills in working in an office supporting several staff members, ability to effectively handle multiple assignments in a dynamic environment, excellent verbal communication skills, customer service and organizational skills.
Working Conditions

The successful candidate will work in a team office environment, with heavy computer usage, administrative and clerical functions. Attendance at public functions, and some evening and weekend work may be required. Lifting files and office supplies, up to 25 pounds, is required.

The successful candidate will maintain confidentiality and follow policies related to personnel and client records.
