Administrative Assistant to the Dean

As an Administrative Assistant to the Dean, you will play a vital role in managing the day-to-day operations of a College or School. This position requires a high level of initiative and judgment, and you will be responsible for a variety of complex decisions and administrative services. You will work under general supervision and your performance will be evaluated based on the completion of assignments and results obtained.
Key Responsibilities- Oversee administrative operations, including managing calendars, appointments, correspondence, and filing.
- Assign and review the work of staff, ensuring that tasks are completed efficiently and effectively.
- Serve as a liaison between the Dean and faculty, administrators, staff, and students, providing support and guidance as needed.
- Interpret policies and procedures, providing clear and concise information to stakeholders.
- Maintain contact with other University offices and external agencies, fostering strong relationships and partnerships.
- Prepare, monitor, and maintain control of expenditures within budgets, ensuring fiscal responsibility.
- Prepare budget and personnel materials, providing accurate and timely information.
- Arrange travel and coordinate special assignments and projects, ensuring seamless execution.
- Interview and select new staff, ensuring that the best candidates are hired for the role.
- Supervise a minimum of three subordinates, providing guidance and support to ensure their success.
- High school diploma or equivalent required; Bachelor's degree preferred.
- Eight years of experience in administration, with a combination of education, job-related experience, and training substituting for the required experience.
- Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position.
- Working knowledge of office practices and methods, including administrative software and systems.
- Ability to coordinate work with other employees, providing direct instruction or supervision as assigned.
- Ability to organize work effectively, conceptualize, and prioritize objectives, exercising independent judgment based on an understanding of organizational policies and activities.
- Ability to establish and maintain effective work relationships with students, faculty, staff, and the public.
- Ability to communicate effectively orally, by phone, in person, and in writing.
- Ability to represent the department and University in a friendly, courteous, and professional manner.
