Job Summary:
We are seeking an experienced Administrative Assistant II to join our Community Relations team at the Texas Department of Aging & Disability Services. As a key member of our team, you will provide administrative support to our Community Relations/Volunteer Services staff, ensuring the timely and accurate completion of tasks and deadlines.

Key Responsibilities:
• Provide administrative support to the Community Relations/Volunteer Services team, including answering phones, taking messages, and maintaining a harmonious working relationship with staff, individuals, donors, and Volunteer Services Council Board Members.
• Maintain accurate records and databases, including eTapestry, and prepare reports as needed.
• Process donations, prepare receipts and thank-you cards, and maintain mailing lists for Christmas cards and resident gifts.
• Coordinate and facilitate volunteer activities, including bulk mail processes and resident birthday cakes.
• Prepare bank deposits, pay bills, and maintain organized files.
• Provide exceptional customer service, greeting guests with dignity and respect, and offering assistance as needed.
• Demonstrate a high degree of professionalism, business judgment, tact, and diplomacy.
• Maintain confidentiality and establish and maintain effective professional working relationships, internally and externally.
• Ability to work independently, exercise reasonable judgment, and manage competing priorities.
• Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and experience with bulk mail processes.
• Strong calendaring, organizational, and document management skills.
Requirements:
• High school diploma or equivalent required; associate's or bachelor's degree preferred.
• 2+ years of administrative experience, preferably in a healthcare or social services setting.
• Excellent communication, organizational, and problem-solving skills.
• Ability to work in a fast-paced environment, prioritize tasks, and meet deadlines.
• Proficient in Microsoft Office Suite and experience with eTapestry.
• Strong customer service and interpersonal skills.
