Job Overview

Oppenheimer & Co. Inc. is seeking a highly organized and detail-oriented Administrative Assistant to join our Private Client Division in Boston, MA.

The ideal candidate will provide administrative support, manage calendars, and prepare documents for the department. They will also assist with recruiting and onboarding new hires, track employee timesheets, and maintain office supplies.

The successful candidate will have excellent communication skills, be able to work in a fast-paced environment, and demonstrate a proactive mindset.

Key Responsibilities:

  • Provide administrative support, including document creation, calendar management, and expense report preparation
  • Assist with recruiting and onboarding new hires, including creating and executing marketing campaigns
  • Track and approve employee timesheets for payroll
  • Maintain office supplies and inventory
  • Serve as main contact for office-related issues
  • Coordinate and schedule office events
  • Prioritize daily work and track progress of projects and deadlines

Requirements:

  • Experience as an administrative assistant in a corporate environment, preferably in the financial services industry
  • Strong accuracy and thoroughness in daily work
  • Ability to review documents and work with the legal department
  • Excellent communication and interpersonal skills
  • Ability to preserve confidentiality of sensitive information
  • Team player with a positive disposition
  • Ability to meet deadlines and work effectively in a pressurized environment
  • Proficient in MS Office, with exceptional knowledge of Word, Excel, and PowerPoint
