Job Title: Executive Administrative Assistant

About the Role:

We are seeking an experienced Executive Administrative Assistant to provide high-level administrative support to the CFO of Technology, Operations and Transformation. The successful candidate will be responsible for handling a wide range of administrative and executive support-related tasks, including scheduling meetings, managing calendars, and arranging travel.

Key Responsibilities:

* Provide daily executive administrative support to the CFO, including answering phones, drafting and responding to emails, and scheduling meetings.
* Coordinate and manage the executive's calendars, ensuring that materials for meetings are available and accessible in advance.
* Monitor email inbox to bring to the forefront emails, documents, etc. that require immediate attention and/or approval.
* On a weekly basis, report executives' travel schedule to the Office of the Head of Global Technology, Operations and Transformation as part of the Direct Report Schedule (DRS).
* Manage department level events, including scheduling and distributing agendas for each event in advance.
* Arrange US/international travel and process related travel and expense accounts.
* Assist in preparing for Quarterly Audit Committee meetings and other executive level meetings.
* Support the administrative assistant and other senior finance executives as needed.

Requirements:

* 5+ years of Executive Administrative experience, preferably in a Finance environment.
* Excellent written and oral communication skills.
* Excellent interpersonal skills and ability to interact with all levels of personnel.
* Advanced Knowledge of Microsoft Office Suite of products (Excel, PowerPoint, Word, Outlook) required.
* Experience organizing travel overseas with meeting stops in different countries.
* Knowledge/experience working with several time zones at one time.
* Demonstrated ability to multi-task and work with little supervision to ensure work is completed within deadlines.
* High degree of professionalism and a demonstrated ability to handle confidential information.
* Demonstrated superior attention to detail and accuracy in process and results.
* Displayed ability to take initiative and foresight to anticipate needs.
* Strong time management, planning, organizational, and analytical skills.
