Key Responsibilities

The COO will be the foremost non-legal leader within the firm, collaborating closely with the managing partner and other key stakeholders on essential aspects such as:

  1. Strategic Development: Formulating and executing the overall strategy of the firm.
  2. Operational Systems: Designing and refining systems to enhance efficiency.
  3. Human Resources: Overseeing HR functions, including recruitment and staff development.
  4. Marketing Initiatives: Driving marketing strategies to bolster the firm's visibility and client engagement.

Essential Functions

A. Operational Process Enhancement

  1. Establish and uphold the firm's policies and procedures.
  2. Conduct training sessions for staff to ensure compliance with established protocols.
  3. Implement an internal audit system to identify and rectify procedural discrepancies.
  4. Develop productivity metrics to enhance operational efficiency.
  5. Optimize the firm's technological infrastructure to improve internal processes.

B. Facilities Oversight

  1. Coordinate with IT and service vendors to ensure seamless operations.
  2. Authorize the procurement of office supplies and equipment.
  3. Establish emergency protocols and ensure staff readiness.

C. Human Resource Management

  1. Assess staffing needs and lead the recruitment process for various positions.
  2. Supervise and train non-legal staff, including paralegals.
  3. Evaluate staff performance based on defined Key Performance Indicators (KPIs).
  4. Enforce the firm's personnel policies and guidelines.
  5. Manage vacation schedules and oversee payroll and benefits administration.

D. Financial Oversight

  1. Work with the finance team to enhance financial controls and analyze reports for operational improvements.
  2. Oversee billing processes to ensure timely invoicing and collections.
  3. Handle escalated collection efforts as necessary.

E. Marketing Strategy

  1. Collaborate on the firm's Business and Marketing Plans to identify growth opportunities.
  2. Organize firm events and assist in marketing initiatives.
  3. Maintain relationships with clients and referral sources.
  4. Support the development of direct reports for career advancement.
  5. Perform additional duties as assigned.

Qualifications

A. A Bachelor's degree is required.

B. A minimum of 10 years in a COO-level position is essential.

C. At least 5 years of experience in a law firm setting is necessary.

D. Proven experience in guiding startups through rapid growth phases is required.
