Job Overview

We are seeking a highly skilled and experienced administrative professional to join our team as an Executive Assistant. This is a contract position working onsite.

  • A minimum of 5 years of executive administrative experience supporting C-suite and/or senior level executives is required.
  • The ideal candidate will have a proven track record of managing multiple and competing priorities, with the ability to make clear and timely decisions.
  • They must be able to manage workload in a fast-paced and high intensity work environment, develop a work schedule, set goals, create/implement action plans and monitor progress.
Key Responsibilities

The successful candidate will be responsible for:

  • Managing the VP's highly detailed calendar, scheduling meetings and conference calls (includes staff meetings and meetings with senior management within the system as well as external stakeholders and consultants) both domestically and internationally.
  • Coordinating travel arrangements (domestic and international) which includes the preparation of visa travel documents, as required.
  • Preparing and handling highly confidential and proprietary information.
  • Maintaining content, accuracy and visual organization of files (or informational databases).
Required Skills and Qualifications

The ideal candidate will possess:

  • Highly organized, with attention to detail and proactive follow-up.
  • Ability to flex schedule to meet work demands (ex. early mornings, after hours).
  • Proficiency in Microsoft Office suite (Outlook, Word, Excel) and advanced PowerPoint skills.
  • Strong communication, interpersonal, time management, and problem-solving skills.
Additional Requirements

The selected candidate will also require:

  • High proficiency using Apple products and systems, including Mac computers, iPad, iPhone, mobile applications, and iOS; proficiency in Adobe Acrobat is a must.
  • Proficiency with business technology (e.g. web conferencing, SAP, portals, etc.) and office equipment such as computer, voice messaging and digital multi-functional devices (fax/copier/scanner/printer).
Estimated Salary

$75,000 - $90,000 per year, depending on experience.
