Transit Operations Support Specialist

The primary responsibility of this role is to oversee a diverse array of operational protocols within the core functional sectors of Hampton Roads Transit’s bus and light rail operations. These sectors encompass maintenance and technical services for both bus and light rail vehicles. The tasks performed are aimed at upholding departmental standards, policies, and procedures that collectively foster a secure and efficient operational atmosphere. The ideal candidate will exhibit exceptional organizational and communication abilities, both verbal and written, along with the capacity to follow clear directives. Key Responsibilities:

- Monitor and enhance work standards to drive improved operational performance.
- Maintain personnel records for bus and rail maintenance staff, including payroll documentation.
- Process payroll adjustments and discrepancies for maintenance personnel.
- Review attendance records to ensure accurate employee compensation and leave balances.
- Address employee inquiries related to payroll, leave, and deductions.
- Assist in developing operational procedures, forms, and performance metrics.
- Participate actively in the Operations Data Team to improve reporting and operational efficiencies.
- Adhere to established policies and time-sensitive tasks.
- Draft and edit manuals and forms to clarify operational policies and procedures.
- Compile and present oral and written reports for departmental decision-making.
- Utilize sound research methods to support conclusions drawn from thorough analysis.
- Organize and maintain vehicle information for the maintenance department.
- Strive to enhance operational efficiency by reducing turnaround times and streamlining processes.
- Collect and verify payroll information for bargaining unit employees, including any disciplinary actions.
- Track warranties and manage vehicle mileage and hours for reporting purposes.
- Coordinate records related to the organization’s Drug and Alcohol Policy.
- Manage records in compliance with organizational Records Management Policies.
- Oversee the records management efforts within the department.
- Perform additional duties as assigned.
- Ability to understand and execute oral and written instructions.
- Critical thinking and research capabilities with minimal supervision.
- Ability to complete tasks independently while adhering to directives.
- Collaborative work ethic with colleagues, external agencies, and the public.

Act as the Departmental Records Coordinator, responsible for organizing and maintaining departmental files in accordance with established Records Management Policies; preparing documents for imaging and ensuring compliance with retention schedules; attending training meetings; and providing guidance on records management practices.
Required Software Proficiency:
Proficiency in relevant computer systems and software applications is essential. Basic problem-solving skills related to software usage are expected.
Safety Responsibilities:
Perform all job functions safely to protect oneself and others from harm. Promote safety awareness and adhere to safety protocols. Report unsafe conditions promptly.
Training and Education:
A minimum of a high school diploma or equivalent is required.
Experience Requirements:
Preferred experience includes two or more years in the transit industry; a minimum of two years in financial and administrative roles is required.
Licenses:
Must possess a valid Driver's License and obtain a Virginia Driver's License within a specified timeframe after hire.
