Job Summary

The Patient Access Specialist plays a vital role in providing a welcoming experience for guests and their families at Springfield Clinic. This position is responsible for communicating with various departments and teams to ensure smooth guest flow and high data integrity. The ideal candidate will have excellent communication skills, be able to multitask in a fast-paced environment, and demonstrate a positive and professional attitude.

Key Responsibilities

  • Answer incoming calls, identify the caller's needs, and route calls to the appropriate area or take messages as required.
  • Assist guests with the check-in process, verify demographic and insurance information, and update as needed.
  • Provide information, direction, and legendary hospitality to guests, members of the Care Team, and team members.
  • Collect patient payments, provide accurate receipts, and reconcile receipts with cash collected.
  • Refer guests with financial questions to the appropriate resource.
  • Schedule appointments for providers, maintaining a high level of accuracy, and analyze schedule capacity to maximize provider efficiency.
  • Collaborate with onsite departments and Care Team members to align scheduling efforts and assist guests at the first point of contact.
  • Document guest requests to the Care Team through the Electronic Health Record (EHR).
  • Work system reports for assigned providers and maintain accurate records.
  • Proactively identify issues with processes, policies, teamwork, and technology and work to execute solutions to improve the Associate and guest experience.
  • Route emergency calls to the Care Team or TeleNurse according to emergency procedures.
  • Drive First Call Resolution by completing necessary outreach on behalf of guests or internal customers.
  • Adhere to patient service standards and serve as a role model of service excellence.

Requirements

  • High School graduate or GED preferred.
  • Comfortable with technology and able to learn new systems.
  • Preferred: Administrative or technical background acquired through completion of 2-3 years of college.
  • Preferred: Minimum one (1) year medical office experience.

Working Environment

Office type environment requiring frequent fluctuations between sitting and standing.
