Position Overview

The Trust and Estate Services Consultant plays a crucial role in managing all facets of Trust and IRA operations, including policies related to deceased and trust accounts, risk management, and compliance with legal standards. This position is also dedicated to ensuring member satisfaction and providing educational resources to both members and staff regarding the various products offered.

Key Responsibilities

Administration of Deceased Accounts
  • Serve as the primary contact for the family or personal representative of the deceased until the account is fully resolved.
  • Conduct necessary maintenance on deceased accounts, including the cancellation of ACH transactions and other pre-authorized debits, as well as managing debit and credit cards.
  • Determine the appropriate distribution of funds in the account while minimizing liability risks.
  • Ensure timely payment to the legal representative of the deceased member upon receipt of the required documentation.
  • Draft correspondence and memos for surviving account holders, executors, attorneys, and trustees.
  • Comply with all relevant Federal and State regulations regarding accounts of deceased members.
  • Provide comprehensive support on deceased accounts to various departments within the organization.
Management of Power of Attorney (POA) Accounts
  • Evaluate all incoming documentation related to Powers of Attorney to confirm legality and validity.
  • Maintain accurate account records and implement alerts for accounts designated with POA.
  • Act as the IRA Administrator, ensuring a thorough understanding of all IRA products and operational protocols.
  • Process all IRA transactions, including withdrawals, deposits, transfers, and distributions.
  • Stay informed about IRS regulations and guidelines concerning IRA accounts and their management.
Oversight of Certificate of Deposit (CD) Accounts
  • Execute maturity instructions, withdrawals, deposits, and transfers as needed.
  • Investigate and rectify transaction discrepancies originating from other departments.
  • Provide expert support on these accounts to other branches and departments.
  • Engage in testing and implementation of new products, services, or processes.
  • Continuously seek opportunities to enhance skills and industry knowledge to improve customer interactions.
  • Participate in ongoing training and certification programs as required for this role.
  • Identify and propose product/service solutions to meet member needs.
  • Process member financial transactions accurately and efficiently.
  • Deliver exceptional experiences to members.
  • Collaborate with teams across the organization to enhance visibility into the member experience.
  • Adhere to NWFCU policies and procedures, including those related to the Bank Secrecy Act (BSA).
Qualifications

Required
  • High school diploma or equivalent.
  • A minimum of 2 years of experience in banking or credit unions, or a similar role.
  • Must obtain and maintain an IRA Specialist Certification at the Certified IRA Specialist II (CIS II) level within one year of hire.
  • Intermediate proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to maintain confidentiality and work collaboratively.
  • Strong attention to detail and accuracy.
  • Effective communication skills, both oral and written.
  • Critical thinking and interpersonal skills.
  • Excellent time management and multitasking abilities.
  • Ability to make independent decisions within established policies and procedures.
  • Capacity to follow instructions provided in various formats.
  • Availability to work Monday through Friday during standard business hours.
Preferred
  • Bachelor's Degree or equivalent from a four-year college or technical institution.
  • Two years of experience in a financial institution with a focus on deceased account processing and Estate and Trust accounts.
