The Trust and Estate Account Specialist plays a crucial role in managing all facets of Trust and IRA operations, including policies related to deceased and trust accounts, risk management, and compliance with legal standards. This position also emphasizes ensuring member satisfaction with these financial products while providing education to both members and staff regarding the various offerings.
Key Responsibilities
Administration of Deceased Accounts
- Serve as the primary contact for the family or personal representative of the deceased, guiding them through the account settlement process.
- Handle maintenance tasks for deceased accounts, such as canceling automatic payments and restricting access to accounts.
- Determine the appropriate distribution of funds while minimizing liability risks.
- Facilitate payments to the legally appointed representative of the deceased upon receipt of necessary documentation.
- Draft correspondence and memoranda for surviving account holders, executors, attorneys, and trustees.
- Comply with all applicable Federal and State regulations regarding deceased accounts.
- Provide comprehensive support on deceased accounts to various departments within the organization.
- Examine incoming documentation related to Powers of Attorney to ensure legality and validity.
- Maintain accurate records and alerts for accounts designated with Power of Attorney.
- Act as the IRA Administrator, overseeing all IRA-related transactions.
- Possess extensive knowledge of IRA products and operational procedures.
- Process IRA transactions, including withdrawals, deposits, transfers, and distributions.
- Understand IRS regulations pertaining to IRA accounts and their management.
- Execute maturity instructions, manage withdrawals, deposits, and transfers.
- Investigate and rectify transaction errors made by other departments.
- Provide advanced support for these accounts to other branches and departments.
- Engage in testing and implementation of new products, services, or processes.
- Continuously enhance skills and industry knowledge to improve customer interactions.
- Participate in ongoing training and certification programs as required for this role.
- Identify opportunities to offer product and service solutions to members.
- Accurately process member financial transactions.
- Deliver exceptional experiences to members.
- Collaborate with teams across the organization to enhance member experience visibility.
- Adhere to organizational policies and regulations, including those related to the Bank Secrecy Act (BSA).
Required
- High school diploma or equivalent.
- A minimum of 2 years of experience in banking or a related field.
- Must obtain and maintain an IRA Specialist Certification at the Certified IRA Specialist II (CIS II) level within one year of hire.
- Intermediate proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to maintain confidentiality and work collaboratively.
- Strong attention to detail and accuracy.
- Effective oral and written communication skills.
- Excellent critical thinking and interpersonal skills.
- Ability to manage multiple tasks independently and make sound judgments.
- Strong time management skills and adaptability to change.
- Ability to follow written and oral instructions effectively.
- Availability to work Monday through Friday during standard business hours.
- Bachelor's Degree or equivalent from a four-year college or technical institution.
- Two years of experience in a financial institution with a focus on deceased account processing and Estate and Trust accounts.
