Job Summary

Vaco is seeking a detail-oriented and organized individual to support our operations as a Construction Administrator. This role will be responsible for managing the Badging Process, Card Reports, and Office Manager responsibilities.

Key Responsibilities
  • Badging Process:
    • Manage a large number of badges (over 100) for multiple sites (NA, Dublin, Hilliard)
    • Coordinate the 2-4 week badge process, ensuring subcontractors complete background checks
    • Effective communication with clients to keep them informed of their subcontractor's progress
    • Receive and upload ticket numbers into Smart Sheets (similar to Excel)
  • Card Reports:
    • Manage a designated email address for foremen to send receipts
    • Enter receipts into software (training will be provided)
    • Coding and tracking receipts
    • Follow up with foremen to ensure timely receipt submission
  • Office Manager:
    • Answer phone calls and respond to emails
    • Perform administrative tasks, including making copies and restocking office supplies
    • Manage inventory, including food, drinks, and office materials
Requirements
  • Proficiency in Smart Sheets (or similar software) and Excel
  • Excellent communication and organizational skills
  • Ability to work independently and as part of a team
  • Attention to detail and ability to multitask
