Office Operations Specialist

Vaco is seeking a detail-oriented and organized individual to support our operations as a Construction Administrator. This role will be responsible for managing the Badging Process, Card Reports, and Office Manager responsibilities.
Key Responsibilities- Badging Process:
- Manage a large number of badges (over 100) for multiple sites (NA, Dublin, Hilliard)
- Coordinate the 2-4 week badge process, ensuring subcontractors complete background checks
- Effective communication with clients to keep them informed of their subcontractor's progress
- Receive and upload ticket numbers into Smart Sheets (similar to Excel)
- Card Reports:
- Manage a designated email address for foremen to send receipts
- Enter receipts into software (training will be provided)
- Coding and tracking receipts
- Follow up with foremen to ensure timely receipt submission
- Office Manager:
- Answer phone calls and respond to emails
- Perform administrative tasks, including making copies and restocking office supplies
- Manage inventory, including food, drinks, and office materials
- Proficiency in Smart Sheets (or similar software) and Excel
- Excellent communication and organizational skills
- Ability to work independently and as part of a team
- Attention to detail and ability to multitask
