SUMMARY

In this role, employees are tasked with executing a variety of advanced financial and clerical functions. This position encompasses a broad range of responsibilities and intricate tasks, including both routine operations and additional related assignments as necessary.
ESSENTIAL JOB DUTIES

The following responsibilities are typical for this position:
  • Calculating and preparing weekly payroll, including for union employees.
  • Auditing invoices and purchase orders for weekly accounts payable processing.
  • Reconciling daily cash receipt collections to cash and subsidiaries, followed by preparing journal entries for posting to the General Ledger.
  • Maintaining the personnel/payroll database, which includes pay rates, tax statuses, voluntary deductions (such as credit union contributions, union dues, insurance contributions, and flex contributions), as well as mandatory deductions like payroll taxes, child support orders, IRS garnishments, and pension contributions.
  • Work is conducted under the general supervision of the Assistant Finance Director.
The omission of specific duties does not exclude them from this classification if the work is similar, related, or a logical assignment for this classification. Additional duties may be required or assigned.
MINIMUM QUALIFICATIONS

A background in accounts payable, accounts receivable, and payroll is preferred. Experience with automated financial management systems and office automation is advantageous. A High School diploma or GED is required, while college-level accounting courses or an equivalent combination of experience and training that provides the necessary knowledge, skills, and abilities is desirable.

  • Thorough knowledge of modern office procedures and practices related to accounting operations.
  • Ability to follow complex instructions with minimal supervision.
  • Capability to manage multiple tasks and meet deadlines.
  • Ability to establish and maintain effective working relationships with colleagues, outside professionals, and the public.
  • Effective communication skills, both orally and in writing.
  • Proficiency in operating calculators, computers, and related office equipment.
  • Experience with Microsoft Office applications, including Word and Excel.
PHYSICAL DEMANDS

Employees in this role must possess manual dexterity sufficient to operate a desktop computer, calculator, and other office equipment. This position requires employees to sit at a desk and work on a desktop computer for extended periods. Acceptable hearing and vision, with or without correction, are necessary. Employees must be able to access file cabinets for filing and retrieval of data and communicate accurately both verbally and in writing. Occasionally, employees may be required to lift up to 40 pounds without assistance. Reasonable accommodations will be made for otherwise qualified individuals with a disability.

ENVIRONMENTAL CONDITIONS
Work is performed indoors in an air-conditioned office environment, with some noise from computers and other office machinery. Employees may be required to perform some physical inventory work at various locations indoors and outdoors.
