Position Summary
The Facilities Coordinator is essential in maintaining the efficient operation of our facilities. This role involves overseeing vendor activities, managing work orders, and ensuring the upkeep of critical systems. The ideal candidate will possess experience in vendor relations, a solid understanding of building systems such as electrical, HVAC, plumbing, and structural integrity, and will be adept at performing inspections related to cleaning and landscaping. The position requires independent critical thinking and problem-solving skills, reporting directly to the Facilities Manager.
Key Responsibilities
Vendor Oversight:
- Maintain documentation and review contracts with vendors.
- Coordinate with vendors to schedule services, ensuring clear communication of timelines and expectations.
- Evaluate vendor performance based on established criteria.
- Supervise vendor operations to guarantee timely and satisfactory completion of tasks.
Work Order Administration:
- Oversee the Facilities Work Order System.
- Provide updates to stakeholders regarding work order status.
- Collaborate with Facilities Technicians to address issues promptly.
- Conduct minor repairs as necessary to resolve issues.
Disaster Preparedness:
- Assist in the development and maintenance of the disaster recovery manual.
- Document proceedings from disaster recovery drills.
Tenant Engagement:
- Respond to tenant concerns regarding cleaning and maintenance in a timely manner.
- Ensure tenant satisfaction by effectively resolving issues.
Task Management:
- Utilize Microsoft applications to track Facilities-related tasks, including procurement and invoicing.
Financial Duties:
- Conduct general accounting and invoicing tasks related to the department.
- Manage procurement activities, including monitoring inventory levels and ordering supplies for building services and Facilities projects.
Additional Responsibilities:
- Perform other tasks as assigned by management.
Qualifications
Preferred Education: High School Diploma or GED, with additional certifications or degrees in Business, Facilities Management, Engineering, or related fields.
Experience: A minimum of five years in a Facilities-related role.
Essential Skills: Proficiency in Microsoft Products; strong general computer skills; excellent written and verbal communication in English; knowledge of building systems including electrical, plumbing, and HVAC; Spanish language skills are a plus.
Personal Attributes: Highly organized, detail-oriented, capable of working both independently and as part of a team, able to manage multiple tasks, and perform under pressure in a public environment.
Physical Requirements: Ability to sit for extended periods and lift up to 50 pounds. A valid Florida Driver's license is required, along with the ability to drive for extended periods.
