Palmer Staffing Services is looking for a dedicated Human Resources and Office Operations Manager to enhance our team. This role will report directly to the Firm Administrator and is a fully in-office position supporting a dynamic team of 35 professionals. The ideal candidate will possess strong attention to detail and the ability to manage multiple tasks efficiently.

Status: In office

Salary: up to 100K DOE

Key Responsibilities:

Human Resources Management

  • Recruit, onboard, and oversee the training of support personnel.
  • Manage all aspects of onboarding, including paperwork, IT setup, building access, and payroll integration.
  • Handle benefits cancellation and provide necessary notices for terminated employees.
  • Document and address personnel matters and actions.
  • Review and approve leave requests while tracking attendance.
  • Ensure adequate coverage and workload distribution, including the preparation of a monthly lunch calendar for phone coverage.
  • Review timesheets for non-exempt staff and submit payroll and 401(K) calculations.
  • Administer the 401(K) plan, ensuring compliance and managing annual reports.
  • Coordinate annual renewals and open enrollment for employee benefits.
  • Prepare documentation for the annual workers' compensation audit.
  • Conduct annual salary evaluations and bonus assessments.
  • Develop and enforce office policies and procedures.

Office Operations Management

  • Oversee the procurement, leasing, maintenance, and support of office equipment.
  • Monitor inventory levels of supplies and equipment.
  • Negotiate and coordinate with external vendors.
  • Act as the primary liaison for building management and lease-related issues.
  • Manage off-site storage needs, including retrieval and organization of materials.
  • Ensure timely renewal of insurance policies and manage claims notifications.
  • Coordinate inter-office relocations and renovation projects.
  • Supervise the functions of external IT vendors, including software upgrades.
  • Review helpdesk support tickets for quick resolution.
  • Organize all office-related functions.

Intake and Case Management

  • Assess inbound inquiries to determine immediate action and prioritize urgent cases.
  • Utilize case management software to generate reports and respond to inquiries.
  • Compile monthly reports on intake and settled cases for the National Office.
  • Verify that decline letters are uploaded and prepare monthly closed case reports.
  • Close cases in the accounting system monthly.
  • Monitor the monthly statute of limitations report.
  • Prepare semi-monthly active case reports for distribution.

Financial Tracking and Reporting

  • Generate monthly write-off reports and process them in the accounting system.
  • Close cases in both case management and accounting software, including trust account closures.
  • Monitor and produce monthly reports on capitalized case costs.
  • Prepare and enter monthly sales and use tax reports into the accounts payable system.

Qualifications:

  • A minimum of 3 years of HR experience within a law firm setting.
  • Experience with sales and use tax is preferred.
  • Ability to effectively manage multiple tasks.
