Job Summary:
The Surgical Scheduling Specialist is responsible for managing the surgical schedule for a team of surgeons within a healthcare facility.
This role involves not only arranging surgical appointments but also ensuring that patients complete all necessary pre-surgery requirements, including medical evaluations and insurance verification.
Key responsibilities include tracking and documenting patient medical information, scheduling surgical procedures, confirming insurance details, and organizing the schedules for each surgeon. Strong organizational and communication skills are essential for success in this position.
Responsibilities:
1. Coordinate and schedule surgical procedures and follow-up appointments as directed by physicians.
2. Communicate effectively with patients, physicians, and staff within the clinic and external facilities, providing accurate and timely information.
4. Ensure efficient communication via telephone.
5. Document work processes as required.
6. Adhere to all written protocols and procedures of the clinic.
7. Demonstrate courtesy and helpfulness towards patients and their families.
8. Recognize and respond appropriately to urgent situations as per established protocols.
9. Establish and maintain effective working relationships with physicians, staff, and management.
10. Schedule surgeries based on physician availability while maintaining appropriate turnaround times.
11. Identify scheduling challenges and implement solutions to enhance scheduling efficiency based on set goals.
12. Follow established safety protocols and procedures to ensure a secure work environment.
Qualifications:
1. High School Diploma or Equivalent (GED);
2. Minimum of 2 years of experience in the medical field or customer service.
3. Previous healthcare experience is advantageous.
4. Familiarity with insurance requirements and medical terminology is preferred.
5. At least 1-2 years of scheduling experience.
6. Experience with electronic health records is strongly preferred.
7. Bilingual (Spanish/English) is a plus but not mandatory.
8. Excellent communication skills (written, oral, and listening).
9. Ability to maintain professionalism and a positive demeanor.
