Surgical Intake Coordinator

We are seeking a highly organized and detail-oriented Surgical Intake Coordinator to join our team at NYU Grossman School of Medicine. In this role, you will be responsible for providing exceptional support to our patients and staff by coordinating surgical intake operations, scheduling appointments, and ensuring seamless communication between departments.
Key Responsibilities- Provide reception assistance, including greeting patients, answering calls, and directing requests to the appropriate individual.
- Screen telephone callers in a pleasant and professional manner, handle calls, take messages, or direct callers to the correct person or area.
- Perform other related duties as needed by providers and supervisors.
- Assist with the completion of special projects, reports, and activities, ensuring requested and related information is accurate and complete.
- Delegate and oversee the work of less senior staff, reviewing their work for accuracy and completeness.
- Responsible for pre-authorizations and certifications, ensuring that appropriate procedure and diagnosis coding is utilized in the pre-certification and verification process.
- Coordinate inter-departmental scheduling for specialist visits, scans, and procedures in accordance with insurance coverage and physician directives.
- Collaborate with other areas of the Medical Center and insurance providers to obtain pre-authorizations and certifications for treatments and diagnostic procedures.
- Primarily responsible for taking patient phone calls and scheduling appointments over the phone, collecting patient demographic-related data, and verifying insurance eligibility.
- Maintain workload statistics and other data for departmental records, recording statistics in established time intervals designated by the supervisor.
- Prepare simple, routine memoranda, letters, labels, and other documents as needed, reviewing work for accuracy and completeness.
- May assist, provide guidance, and/or train less senior staff in completing intake-related duties.
- Maintain supplies and cleanliness of the workspace, restocking supplies as needed, and notifying the supervisor of any shortages.
- Maintain and receive files for the area, keeping them organized and up-to-date to facilitate retrieval.
- Answer patient questions to ensure understanding and patient satisfaction, or refer them to more senior-level staff, maintaining confidentiality on matters to which they are privileged.
- Types routine material, such as forms and letters, envelopes, etc., neatly, accurately, and according to instructions.
- Maintain cooperative and professional relationships with physicians, nurses, and office and clinical staff.
- Refer patients who have questions regarding insurance coverage or are in need of counsel on financial matters to the Business Office Associate, based on established criteria.
- Monitor the intake work queue for timely intake completion and scan all necessary documents into the intake system.
- Responsible for patient check-in and check-out, gathering patient demographic-related data and materials, and verifying insurance eligibility electronically.
- Schedule routine appointments and follow-ups for visits and procedures that do not require or have already been pre-authorized.
To qualify for this role, you must have a High School Diploma. Excellent organizational, interpersonal, and verbal and written communication skills, as well as a strong customer service orientation, are required. Basic knowledge of word processing, spreadsheet, database, and Internet applications is also necessary. Light, accurate keyboarding skills are required, and the ability to complete multiple tasks efficiently and thrive in a team work environment is essential.
Preferred qualifications include knowledge of computer-based scheduling and appointment programs, as well as excellent telephone skills. Qualified candidates must be able to effectively communicate with all levels of the organization.
