Associate Director of Gift Planning

About the Role

Caltech, a world-renowned science and engineering institute, is seeking a highly skilled Associate Director of Gift Planning to join its Advancement and Alumni Relations team. As a key member of the Office of Gift Planning, this role will play a critical part in fostering a thriving and engaged community of support for the Institute.

Key Responsibilities
  • Estate Administration
    • Administer all estate distributions to Caltech, ensuring timely and accurate processing.
    • Review and coordinate with trustees, executors, attorneys, and financial advisors to facilitate estate distributions.
    • Oversee completion of estate beneficiary forms and communicate with financial institutions as necessary.
    • Work with the Office of General Counsel to review probate, trust administration, and related agreements.
  • Trust Administration
    • Coordinate day-to-day operations with TIAA Kaspick, including approving web forms and overseeing donor and staff access.
    • Prepare Trust Addition and Charitable Gift Annuity agreements, coordinating with Investment and Finance offices for signatures.
    • Administer trust terminations and track distribution process to ensure timely receipt of funds.
    • Provide support to the board secretary of the Knudsen Foundation, maintaining records and coordinating communications.
  • Data Management
    • Oversee gift processing forms and required documentation to record planned gifts.
    • Administer and maintain data reports under OGP's management, preparing semi-annual reporting for audit purposes.
    • Update and maintain planned gift allocation to ensure data integrity in Advance.
Requirements
  • Bachelor's degree or equivalent.
  • 5 or more years' experience in trust or estate administration, gift planning, investments, financial planning, or equivalent.
  • Knowledge of trust and investment management, with ability to communicate market conditions and investment allocation decisions.
  • Strong written and verbal communication skills, with ability to interact well with constituents.
  • Quantitative and database skills, with proficiency in MS Office and strong Excel skills.
