Position Overview

As a vital member of our team, the Intake Coordinator plays a key role in facilitating the client journey from initial inquiry to their first therapy session. We are dedicated to fostering a supportive environment for our mental health professionals, enabling them to grow and mentor while delivering compassionate care.

The Intake Coordinator is tasked with effectively connecting clients with appropriate therapy services through various communication channels, including phone and email. This role is essential in ensuring a seamless client experience, managing the necessary documentation, and coordinating with clinicians prior to the initial appointment.

This position offers a remote work schedule from 11 AM to 8 PM CST, Monday through Friday.

Key Responsibilities:

  • Assist new clients in scheduling their initial appointments via phone and email
  • Verify insurance benefits during the intake process
  • Collect co-pay amounts at the time of intake
  • Create client portal accounts
  • Respond to incoming phone inquiries
  • Collaborate with Practice Management and Clinical Leadership to optimize scheduling
  • Facilitate strategic scheduling for new services as requested by the psychiatry team

Qualifications:

  • Outstanding written and verbal communication abilities
  • Exceptional customer service skills
  • Bilingual in English and Spanish is mandatory
  • Proficient computer skills
  • Associate Degree is preferred
  • Experience in healthcare is advantageous
  • Prior intake experience is highly desirable
  • Familiarity with medical office operations and HIPAA regulations is preferred
