Front Office Representative

At InTown Suites, we are seeking a highly skilled and customer-focused Guest Services Representative to join our team. As a key member of our front office team, you will be responsible for providing exceptional service to our guests, ensuring a seamless and enjoyable stay.
Key Responsibilities:- Represent the hotel in a professional and courteous manner, ensuring a positive guest experience.
- Check guests in and out efficiently, handling all front office related functions with accuracy and attention to detail.
- Take reservations correctly and courteously, ensuring a smooth and hassle-free experience for our guests.
- Be proficient in computer operating systems, with the ability to navigate and utilize our hotel's software with ease.
- Available at all times to deal with guest issues in a professional and courteous manner, providing solutions and resolving problems promptly.
- Notify the General Manager or equivalent immediately of any guest, employee, or cash concerns, ensuring prompt attention and resolution.
- Supervise property staff as needed, providing guidance and support to ensure a high level of service is maintained.
- Ensure compliance with safety and security standards, reporting any violations or concerns to the General Manager or equivalent.
- Responsible for bank deposits in the General Manager's absence, ensuring accurate and timely processing.
- Identify and follow up on life/safety issues and inspection issues, ensuring a safe and secure environment for our guests and staff.
- Ability to read, understand, and interpret information found in a variety of reports and internal hotel documents.
- Ability to read, speak, and write in an efficient manner, with excellent communication and interpersonal skills.
- Handle administrative duties as assigned, with a high level of accuracy and attention to detail.
- Sufficient mathematical skills to calculate room revenue, average rate, occupancy percentage, and count and balance a cash bank.
- General computer proficiency, with the ability to navigate and utilize our hotel's software with ease.
- Possess thorough knowledge of Front Office and related department operations, service standards, and techniques, with the ability to provide high-level service and effective staff training.
- Ability to compose and express thoughts in a clear and concise manner, ensuring effective communication and problem-solving skills.
- Ability and flexibility to work long hours on a regular basis and as business conditions demand, with a high level of adaptability and flexibility.
- Ability to manage multiple activities often in stressful situations with time constraints, with a high level of time management and organizational skills.
- Previous hospitality experience, with a strong understanding of front office operations and customer service principles.
- Any combination of education and experience equivalent to a high school diploma, with a strong focus on customer service and communication skills.
- Any other combination of education, training, or experience that provides the required knowledge, skills, and abilities.
This role requires the ability to work in an indoor environment with hard and carpeted surfaces, standing for eight-hour shifts, and occasional sitting, climbing, or balancing. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Exposure to extreme weather conditions, cold, and heat is also a requirement.
