Position Summary: We are in search of a highly organized and motivated Real Estate Administrative Coordinator to become part of our team. This role is crucial in providing high-level administrative assistance to an Executive, ensuring seamless operations in a dynamic environment.

Key Responsibilities:

  • Administrative Assistance: Manage the administrative tasks of the Executive, including scheduling, drafting communications, and handling sensitive information.
  • Meeting Coordination: Organize conference calls and meetings, preparing agendas and recording minutes as necessary.
  • Travel Coordination: Arrange and manage work-related travel logistics, including booking flights, accommodations, and transportation.
  • Visitor Reception: Welcome and manage visitors, ensuring they are properly greeted and directed.
  • Team Oversight: Train and oversee junior clerical staff and assist in onboarding new licensed agents, providing guidance and support as required.
  • Inventory Management: Maintain and order office supplies, ensuring all necessary items are stocked and available.

Qualifications:

  • Experience: Prior experience as a real estate assistant, executive secretary, administrative assistant, or in a related field is essential.
  • Organizational Skills: Strong organizational abilities with a knack for prioritizing tasks and managing multiple responsibilities efficiently.
  • Attention to Detail: A keen eye for detail with a commitment to delivering high-quality work.
  • Multitasking Skills: Capability to multitask and thrive in a fast-paced work environment with professionalism and efficiency.
