Overview of the Role

We are looking for a detail-oriented and customer-centric individual to provide administrative and operational support for the CCCAP within the Adams County Human Services Department. The Office Coordinator will work autonomously, demonstrating initiative in establishing effective procedures under the guidance of the CCCAP Supervisor. This role is essential in delivering prompt and courteous service to both participants and team members. Bilingual candidates are preferred.

The position involves assisting clients at the reception area, offering backup support to the team as necessary, and ensuring outstanding customer service. The ideal candidate will possess strong verbal and written communication skills, interacting with the public, clients, childcare providers, county personnel, and supervisors. Responsibilities may include assisting staff with filing, procuring supplies (with supervisor approval), or performing other general clerical tasks as required. This position serves as a vital first point of contact for inquiries related to CCCAP.

Key Responsibilities

  • Provide administrative and operational support to the CCCAP staff as needed.
  • Welcome all guests, visitors, and program participants in the reception area.
  • Notify the appropriate staff member when participants arrive.
  • Handle incoming phone calls and direct them to the relevant staff as necessary.
  • Record all program referrals and ensure they are routed to the appropriate personnel.
  • Address inquiries from the public and input contact information into the database or other systems.
  • Deliver customer service by responding to inquiries, phone calls, walk-ins, and program staff requests.
  • Make outbound calls to provide program information, schedule appointments or orientations, and follow up on communications.
  • Perform additional duties and responsibilities as required.

Qualifications

  • Proficient in operating personal computers, including Microsoft Office, copiers, fax machines, and telephone systems.
  • Ability to effectively interpret and communicate directives and procedures.
  • Capable of following oral and written instructions, procedures, and regulations.
  • Skilled in preparing and maintaining detailed records and files.
  • Excellent communication skills, both oral and written.
  • Familiarity with accessing CHATS and CBMS to inform clients of their status.
  • Ability to manage participants who may be experiencing stressful or crisis situations with empathy and care.
  • Capacity to establish and maintain positive working relationships with all individuals encountered in the course of work.

Additional Qualifications

  • Experience: Minimum of three years of experience with significant public interaction.
  • Education: High School diploma or equivalent.
  • License or Certification: None required.
  • Background Check: Successful completion of a criminal background check is mandatory.
  • Other: Bilingual in English/Spanish is preferred.

The typical work schedule is from 8:00 a.m. to 4:30 p.m., although hours may vary based on client needs.
