Key Responsibilities:
  • Provide administrative support to our operations team, ensuring seamless day-to-day operations.
  • Coordinate and schedule field service activities with our division manager, ensuring timely and efficient execution.
  • Prepare and distribute business correspondence, reports, and other documents, maintaining a high level of professionalism and attention to detail.
  • Assist in the preparation of regularly scheduled reports, providing valuable insights and data analysis.
  • Maintain a comprehensive filing system and order office supplies, ensuring a well-organized and efficient work environment.
  • Research and identify cost-effective solutions for business operations, ensuring optimal resource allocation.
  • Maintain accurate contact lists and book travel arrangements, ensuring seamless business travel.
  • Process and reconcile expense reports, ensuring accurate and timely reimbursement.
  • Provide exceptional support to visitors and serve as the primary point of contact for internal and external clients, ensuring a positive and professional experience.
  • Liaise with executive and senior management to handle requests and queries from customers and other divisions, ensuring timely and effective communication.
Requirements:
  • Proven knowledge of office management systems and procedures, with a focus on efficiency and productivity.
  • Working knowledge of office equipment, including printers and fax machines, with a focus on maintenance and troubleshooting.
  • Proficiency in MS Office, particularly MS Excel, with a focus on data analysis and reporting.
  • Excellent time management skills and the ability to prioritize work, ensuring timely completion of tasks and projects.
  • Attention to detail and problem-solving skills, with a focus on resolving complex issues and improving business processes.
  • Excellent written and verbal communication skills, with a focus on clear and concise communication.
  • Strong organizational skills with the ability to multi-task, ensuring seamless execution of multiple projects and tasks.
  • High School degree; additional qualification as an Administrative Assistant or Secretary is a plus.
