Administrative and Clerical Support
• Procures necessary supplies and provides recommendations for equipment maintenance, upgrades, or additions for various departments.
• Keeps manuals current and updates them as required.
• Executes and manages computer operations, including departmental and professional correspondence, reports, schedules, budgets, inventories, purchase orders, work orders, staffing sheets, documents, graphs, databases, forms, minutes, and other patient-related business.
• Manages distribution tasks, including mail, correspondence, and hospital-related documents or forms.
• Performs duplicating and faxing tasks promptly.
• Organizes and files all patient care, departmental, and hospital documents in designated locations, providing orientation to staff as necessary. Maintains departmental filing systems.
• Tracks attendance records for the Nursing Services Department.
• Cross-trains and offers backup for various job responsibilities among hospital clerical staff. Ensures telephone coverage during lunch breaks and other short absences from the workstation (mailing, duplicating, breaks, etc.). Guarantees coverage of duties among the clerical staff during extended absences.
• Aids in the completion of medical records.
• Acts as staffing coordinator, managing absence/sick calls and making staffing adjustments as directed. Ensures adequate staffing by utilizing all nursing personnel and agency resources if necessary.
Educational Requirements: High School diploma or equivalent. Completion of or attendance at a business college or secretarial school is preferred.
Experience Requirements: No prior experience is required; however, experience in healthcare and/or office practice is preferred.
