We are currently seeking a dedicated professional for a full-time opportunity within the Corporate - Banking Practice Group of a prestigious global law firm. The standard working hours for this position are from 10 AM to 6:30 PM, with the potential for overtime and occasional travel requirements.

Role Summary:

The Legal Support Specialist will provide essential administrative and secretarial support to multiple attorneys within the Corporate - Banking Practice Group. This position involves a variety of tasks, including calendar management, document processing, and client coordination. The ideal candidate will demonstrate flexibility in working overtime as necessary.

Key Responsibilities:
  • Maintain and organize legal files in both paper and electronic formats, ensuring all documents are accurately filed and easily accessible.
  • Handle time entry, initiate new matters, draft engagement letters, and manage billing processes, including expense reimbursements.
  • Manage communication for supported attorneys, including answering phone calls and relaying messages effectively.
  • Update case information, scan and prepare legal documents, and conduct necessary research.
  • Oversee document deliveries and track executed documentation, assisting in the preparation of closing transcripts.
  • Support overflow work and additional projects as required.
Required Skills & Qualifications:
  • In-depth knowledge of State and Federal court filing procedures, including electronic filings.
  • Proficiency in administrative functions such as time entry, travel arrangements, and invoice processing.
  • Strong computer skills, particularly in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and document management systems.
  • Exceptional attention to detail, organizational abilities, and effective time management skills.
  • Excellent interpersonal and communication skills, with a strong ability to work collaboratively within a team.
Experience & Education:
  • A minimum of 5 years of experience as a legal secretary in a law firm or professional setting is required.
  • Proficiency in Windows-based software and Microsoft Office applications is essential.
  • A Bachelor's Degree or equivalent education and experience is preferred.
