Marketing/Proposal Coordinator Job Description

At Whitman Requardt and Associates, we are a people-focused and project-driven organization with over 105 years of experience in delivering quality work and quality employees. We are seeking an experienced and self-motivated Marketing/Proposal Coordinator to join our Richmond, VA office.

Key Responsibilities:
  • Coordinate, write, edit, and produce responses to solicitations, SOQs, RFQs, and RFPs, including research, technical content, graphics, page layout, and design.
  • Work with multiple firm leads to assemble materials and manage the entire proposal process from start to delivery, adhering to all internal deadlines for drafts and reviews.
  • Read and analyze solicitations, SOQs, RFQs, and RFPs, and effectively edit proposal content for spelling, grammar, consistency, and compliance with requirements.
  • Prepare presentations, leave-behinds, and handouts for interviews with prospective clients.
  • Assist with tracking and inputting opportunities.
  • Schedule and participate in proposal strategy meetings.
  • Attend pre-proposal meetings and debriefings as needed.
  • Assist with other business development and marketing functions as necessary.
  • Update and maintain the marketing department's documentation and databases.
Requirements:
  • Associate or Bachelor's degree in Marketing, English, Communications, or Journalism preferred; demonstrated years of experience will be considered in lieu of a degree.
  • 3-5 years of experience providing proposal and presentation coordination and marketing support in the A/E/C industry preferred.
  • Excellent project and time management skills with keen attention to detail and highly organized.
  • Excellent writing and proof-reading skills, with the ability to multi-task and handle multiple deadlines and assignments.
  • Proficient with MS Office Suite (Word, Excel, PowerPoint, and Outlook) and Adobe Creative Suite (specifically InDesign) required.
  • Self-starter with the ability to work both independently and as a team member.
