Overview of Responsibilities:
The Healthcare Customer Service Specialist position at the University of Minnesota is designed to assist healthcare providers in evaluating the appropriate services to address the needs of patients within a mental health facility.
Responsibilities are executed with a focus on respecting patient rights and ensuring the effective delivery of high-quality outpatient care.
Compensation:
$20.80-$24.49 hourly based on qualifications and experience.
Key Responsibilities:
Patient Screening:
Gather patient information
Confirm patient eligibility for services
Conduct interviews to collect medical history and visit purpose
Analyze data to determine appointment requirements
Refer critical findings to appropriate healthcare personnel for evaluation
Identify and react to emergencies and unexpected situations
Appointment Management:
Understand and communicate scheduling protocols established by healthcare providers
Ensure compliance with HIPAA regulations and explain privacy practices to patients
Clarify financial responsibilities to patients
Collect co-payments and inform patients about their payment obligations
Send virtual meeting invitations for TeleHealth consultations
Utilize correct pronouns as preferred by patients or staff
Arrange for language or hearing interpreters as necessary
Collect updated insurance details and necessary consent forms
Verify demographic information
Create mental health records using the electronic medical records system
Patient Information Management:
Handle a high volume of incoming calls
Document messages from callers wishing to speak with healthcare providers
Provide urgent assistance to students in distress
Complete necessary paperwork and electronic communications to facilitate patient care
Manage patient information in accordance with confidentiality standards
Delegated Tasks:
Process documentation and information requests promptly
Send faxes as needed
Follow up on outstanding billing issues
Organize and file patient records in the electronic system
Perform additional assigned duties
Continuous Improvement Initiatives: Attend and engage in regular staff meetings, training sessions, and workshops
Maintain adherence to OSHA, HIPAA, and financial confidentiality policies. Follow University and healthcare facility guidelines.
Keep the Team Leader updated on any operational challenges.
Participate in the ongoing evaluation of policies and procedures
Engage in Quality Improvement initiatives

Qualifications
Required Qualifications:
Completion of business college, office skills training, or a university degree, along with clerical experience involving public interaction, or a combination of relevant medical clerical/receptionist experience and education totaling four years.
Experience in a healthcare clerical role.Familiarity with electronic medical record systems.
Demonstrated commitment to fostering a culture of diversity and inclusion.
Preferred Qualifications:
Experience in a mental health clinic clerical role.
Strong customer service skills.
Ability to exercise independent judgment in a variety of tasks.
Excellent communication and interpersonal abilities.
Capability to prioritize, solve problems, and multitask in a fast-paced environment.
Ability to perform well under pressure and manage multiple responsibilities simultaneously.
Strong problem-solving skills.
Previous experience with electronic medical record systems.
Experience working with diverse populations across various backgrounds.
