Job Description
We are seeking an experienced Office Manager to join our team. As the primary point of contact for our office operations, you will be responsible for managing, training, and motivating our staff to ensure seamless delivery of our services. Your key responsibilities will include:
- Managing Receptionist-Dispatcher
- Managing Job File Coordinator
- Managing Accounting & HR Administrator
- Coordinating and maintaining company calendar and franchise communication
- Managing accounts payable, accounts receivable, and cash management
- Verifying and analyzing financial reports
- Verifying and analyzing divisional key measurements
- Monitoring compliance and risk management
- Ensuring employment files and records accuracy
- Managing franchise compensation plan
- Managing franchise staffing plan
- Ensuring fulfillment of the training and development plans for all divisions
- Overseeing performance management and documentation
- Documenting franchise annual plan
- Documenting divisional performance
Required Skills and Qualifications
To succeed in this role, you must have:
- 5+ years of office, accounting, or customer service management experience
- Experience in building a strong team with tangible leadership skills
- Solid organization and planning capabilities, strong attention to detail
- Demonstrated history of ability and growth in managing an office environment
- Outstanding written and verbal communication skills, including proper pronunciation, grammar, and a consistently courteous and professional tone of voice at all times
- Very self-motivated and goal-oriented with ability to multi-task
- Capability to work in a fast-paced, team-oriented office environment
- Proficiency in Microsoft Office (i.e., Outlook, Word, Excel) and QuickBooks
- Ability to learn new software and proprietary software
- Proficient with Xactimate estimating software
- Experience in customer service industry environment a plus
- College degree desirable
- Ability to successfully complete a background check subject to applicable law
