Job OverviewPOSITION SUMMARY

The IT Specialist plays a crucial role in managing and enhancing the electronic infrastructure at Kaleidoscope, which includes servers, laptops, workstations, telecommunication devices, and security systems. This position also involves supervising external contractors with specialized expertise to ensure the successful execution of internal IT initiatives.

KEY RESPONSIBILITIES

1. Staff Training & Assistance (40%)

  • Facilitate equipment and system access for all new employees.
  • Provide training for end users on internal software applications as required.
  • Address support requests from users regarding applications and equipment.
  • Respond promptly to user and equipment emergencies.
  • Keep abreast of current IT equipment and security developments.

2. Management of Corporate IT & Communication Systems (30%)

  • Ensure the physical upkeep of all systems across Kaleidoscope locations.
  • Continuously monitor server performance.
  • Create workflows and documentation that outline business processes.
  • Diagnose and resolve application errors.
  • Establish timelines for internal projects and manage schedules, communicating updates to all staff.
  • Evaluate the performance of implemented internal projects to ensure they meet or exceed established objectives.

3. Corporate Resource for IT & Communication Systems (30%)

  • Conduct research and provide recommendations for suitable hardware and software to meet corporate objectives, both current and future.
  • Collaborate with department heads and executives to budget for ongoing and future IT needs.
  • Stay informed about the latest IT equipment and security trends.
  • Identify and source qualified contractors or consultants for internal projects, ensuring compliance with agreed tasks and timelines.

QUALIFICATIONS

Education & Experience

  • A Bachelor's degree in a related field or equivalent experience; an Associate's degree with substantial experience may also be considered.
  • 1-2 years of technical experience in a corporate or healthcare environment is required; 5+ years of experience is preferred.

Certifications

  • Relevant certifications in system administration or technical specialties are highly desirable.

Skills & Knowledge

  • Demonstrated ability to anticipate needs and recommend proactive IT solutions.
  • Experience managing multiple physical locations within a lab or similar environment.
  • Proficient in providing user support via phone and remote access software.
  • Ability to coach users of varying skill levels with patience and professionalism.
  • Capable of creating comprehensive documentation and instructions for end users.
  • Expertise in operating systems, particularly Microsoft Server and Windows 10.
  • Basic networking knowledge, including firewall configuration and VPN setup, with familiarity in Sonicwall firewalls being a plus.
  • Understanding of VoIP phone systems is required.
  • Advanced knowledge of CentOS/RHEL Linux operating systems is essential.
  • Proficient in Office 365 applications, with the ability to train users on their features.
  • Familiarity with CAD/CAE, Industrial Design, and Graphic Design applications is a plus.
  • Knowledge of Dell hardware and Macintosh devices in a Microsoft network environment is preferred.
  • Understanding of access control systems, including RFID, is desirable.
  • Familiarity with ticketing systems and knowledge bases is beneficial.
  • Consistent ability to troubleshoot effectively and efficiently.
  • Strong organizational skills to prioritize and complete tasks within set deadlines.
  • Ability to work independently while maintaining focus and commitment to tasks.
  • Excellent written and verbal communication skills, demonstrating professionalism.

WORKING ENVIRONMENT

Tools and Equipment

  • Standard office equipment including personal computers, copiers, scanners, and telephones.

Travel Requirements

  • Minimal travel, up to 10% of the time, typically within the city as needed.

Physical & Mental Demands

  • Frequent periods of sitting at a desk or workstation.
  • Ability to work at a computer for extended durations.
  • Manual dexterity for operating office equipment and handling small devices.
  • Occasional heavy lifting of IT and telecommunication equipment.
  • Capability to kneel, crawl, and climb as necessary for equipment installation and maintenance.
  • Ability to communicate effectively with employees and clients in person or via phone.
  • Physical mobility to navigate the office environment.
  • Analytical skills to assess problems and devise appropriate solutions.
  • Ability to read and interpret technical schematics and equipment manuals.
  • Additional cognitive skills required include comparison, decision-making, direction, problem-solving, analysis, instruction, and interpretation.
