This pivotal position within the compact yet effective CEO support team is responsible for delivering comprehensive administrative assistance to the CEO. The ideal candidate will excel in a dynamic environment, adapt to shifting priorities, and exhibit a high degree of professionalism and confidentiality.
Key Responsibilities
- Deliver top-tier administrative support for the CEO, acting as the primary liaison and gatekeeper for both internal and external stakeholders. Cultivate and sustain robust relationships with various parties, ensuring effective communication between the CEO and others.
- Oversee the CEO's intricate and evolving calendar, coordinating appointments, preparing meeting agendas and documents, and organizing video conferences, meetings, town halls, and events. Proactively identify and resolve scheduling conflicts, optimizing the CEO's time and efficiency.
- Assist the CEO in maintaining focus throughout the day by arranging video calls in advance, preparing meeting materials, and promptly informing attendees of any delays or changes.
- Coordinate high-level events, functions, and engagements, including quarterly management meetings.
- Manage the organization of company-wide events, such as the annual holiday celebration and summer gathering, delegating tasks as necessary.
- Prepare documents using Word, Excel, and PowerPoint, manage email and holiday card lists, prioritize incoming requests, and respond to inquiries with urgency.
- Handle sensitive and confidential information with the utmost professionalism and discretion.
- Provide light administrative support, including calendar and phone management, for the Chief of Staff.
- Complete any reasonable projects or tasks as assigned by the CEO or Chief of Staff.
Qualifications
- Bachelor's degree.
- 3-10 years of experience as an Executive Assistant or in a similar role supporting C-level executives, preferably within the banking or consulting industries.
- Outstanding organizational skills with the ability to multitask and prioritize effectively.
- Exceptional written and verbal communication skills, with a keen eye for detail.
- Proficient in productivity tools and software, including the MS Office suite (Outlook, Word, Excel, PowerPoint).
- Professional discretion in handling confidential information, demonstrating the highest levels of integrity.
- Ability to adapt to changing priorities and thrive in a fast-paced, deadline-driven environment.
- Meticulous attention to detail, coupled with a strong self-motivation to complete tasks accurately.
