Administrative Associate II

The Administrative Associate II will provide administrative support to the Advocating Success for Kids Program at Boston Children's Hospital. This role will involve transcribing and typing correspondence, preparing documents, and providing routine and standardized information to patients, families, and staff.
Key Responsibilities- Transcribe and type correspondence, forms, reports, and other materials from recorded dictation or rough draft.
- Prepare documents requiring stylized formats and lettering or graphics using specialized commercial software.
- Answer and screen telephone calls, greet and direct patients/families, visitors, and staff.
- Schedule appointments and meetings, maintain personal calendars, and prepare meeting agenda and other materials.
- Maintain departmental files, records, and databases, and enter information from source documents into computer databases.
- Monitor and maintain office equipment and supply inventory, and communicate with hospital support service departments as needed.
- Prepare, route, and track routine administrative forms and documents, and communicate with other hospital departments to resolve delays and errors.
- Provide positive and effective customer service that supports departmental and hospital operations.
The schedule will be Monday: flexible hours between 8:30am and 5pm, Tuesday: 8:30am to 1pm, Wednesday: 12pm to 5pm, Thursday: 8:30am to 5pm, and Friday: flexible hours between 8:30am and 5pm.
Requirements- High School Diploma/GED
- Basic computer skills
- Proficiency in Spanish preferred
- Analytical skills and judgment to interpret data and take appropriate action
- Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations
