Job Summary:

The Division of General Pediatrics at Boston Children's Hospital is seeking an Administrative Associate II to provide high-quality administrative support to our team. The successful candidate will have excellent communication and organizational skills, with the ability to work effectively in a fast-paced environment.

Key Responsibilities:

  • Transcribe and type correspondence, forms, reports, and other materials from recorded dictation or rough draft.
  • Prepare documents requiring stylized formats and lettering or graphics using specialized commercial software.
  • Proofread and edit materials for grammar, punctuation, and spelling.
  • Answer and screen telephone calls, greet and direct patients/families, visitors, and staff.
  • Schedule appointments and meetings, maintain personal calendars, and prepare meeting materials.
  • Assist in organizing and scheduling conferences, seminars, and other department-sponsored programs or events.
  • Maintain departmental files, records, and databases.
  • Monitor and maintain office equipment and supply inventory.
  • Prepare and route routine administrative forms and documents.

Requirements:

  • High School Diploma/GED
  • Basic computer skills
  • Analytical skills and judgment to interpret data and take appropriate action
  • Ability to communicate effectively both orally and in writing
