Job Summary

The Welcome Center Coordinator is a key role at Mount Mary University, responsible for delivering exceptional visitor experiences to our students, employees, and guests. This position requires a high level of customer service, communication, and problem-solving skills, as well as the ability to work effectively in a fast-paced environment.

Key Responsibilities
  • Co-supervise and train front desk staff, ensuring they are equipped to provide excellent customer service and support.
  • Develop and implement new ideas to improve Welcome Center operations, including hiring, supervising, and evaluating staff.
  • Act as a liaison between Admissions and the Welcome Center, ensuring seamless communication and collaboration.
  • Provide backup support for Welcome Center staff, ensuring continuity of service.
  • Ensure front desk staff are thoroughly trained in Student Information System (SIS) modules, including registration, admissions, financial aid, and billing.
  • Handle non-routine questions and difficult clients, providing solutions and referrals as needed.
  • Maintain an 80/20 service goal for Admissions, Financial Aid, Student Accounts, and Registration, ensuring that 80% of Welcome Center inquiries are handled by front desk staff and 20% are referred to advisors or directors.
  • Create and maintain a comprehensive FAQ database and reference guide, ensuring accurate and timely information for all constituencies.
  • Coordinate display cases, information boards, and electronic signage updates, ensuring a welcoming and informative environment.
  • Provide regular communication to staff via email and meetings, ensuring they are informed and engaged.
  • Give immediate consultation to staff and students, providing feedback and support as needed.
  • Coordinate staff, student, and volunteer schedules to ensure adequate desk coverage during regular work days and arrange supplemental coverage as needed during peak activity times.
Requirements
  • Bachelor's degree from an accredited college or university or equivalent work experience and Associate degree.
  • Two years of experience in higher education, specifically in Admissions, Financial Aid, or Registration, with supervisory experience.
  • Proficiency in MS Office suite, internet research, databases, and integrated student information systems.
  • Ability to work autonomously, make independent judgments, and render decisions with minimal direction.
  • Attentiveness to accuracy and detail-oriented.
  • Ability to work respectfully and productively with a diverse college staff and clientele.
  • Demonstrated success in developing and executing effective training programs.
  • Outstanding verbal, writing, and presentation skills, with the ability to communicate and interact effectively with Mount Mary University constituents.
  • Demonstrated commitment to promoting inclusiveness and cultural competence, with experience working with underrepresented students and students from at-risk backgrounds.
  • Experience and understanding of current issues and developments in higher education.
  • Exceptional ability to multitask and prioritize projects.
Working Conditions
