Job Title: Administration Assistant

We are seeking a highly organized and detail-oriented Administration Assistant to join our team at Intracoastal Construction & Roofing.

Key Responsibilities:

  • Draft and prepare correspondence, reports, and other formal documents
  • Plan and schedule appointments, meetings, and events
  • Coordinate and submit permits to city and county municipalities
  • Track and follow up on permits, ensuring timely completion
  • Manage and respond to emails, phone calls, and other communications
  • Develop and maintain organized filing systems and databases
  • Perform various administrative tasks, including data entry, record-keeping, and reporting
  • Assist the owner with daily tasks, projects, and initiatives
  • Coordinate and schedule inspections, deliveries, and other site-related activities
  • Provide exceptional customer service and support to clients, vendors, and subcontractors
  • Develop and implement processes to improve efficiency and productivity

Requirements:

  • Previous experience in office administration, preferably in the construction industry
  • Familiarity with permitting processes and related documents
  • Knowledge of CRM systems and software, including QuickBooks
  • Excellent written and verbal communication skills
  • Strong attention to detail and organizational skills
  • Ability to prioritize tasks, manage multiple projects, and meet deadlines

Working Conditions:

This is a full-time position, requiring occasional local driving for client meetings, permit packet delivery, and filing documents at the courthouse.
