Scheduling and Administrative Specialist

Job Title: Scheduling and Administrative Specialist

Location: Onsite

Hours: Monday to Friday, 7 AM - 4 PM

Salary: $50,000-$60,000

LHH Recruitment Solutions is partnering with an organization in the Washington, DC area to fill a Scheduling and Administrative Specialist position.

Key Responsibilities
  • Coordinate and manage the scheduling of 20+ estimates per week for field assessments and project installations.
  • Work closely with sales and installation teams to prioritize and allocate time slots effectively.
  • Utilize QuickBooks for managing schedules, billing, and material ordering.
  • Maintain communication with customers and internal teams to provide timely updates and confirmations regarding schedules.
  • Assist in the preparation and organization of documentation related to project schedules and customer communications.
  • Track and record shipments and material deliveries, ensuring they align with project timelines.
  • Generate and maintain reports on scheduling efficiency and project status for management review.
  • Provide administrative support to the team, including filing, data entry, and coordinating meetings.
Required Knowledge and Skills
  • Familiarity with scheduling tools and best practices for managing multiple projects.
  • Understanding of materials and installation processes to effectively coordinate schedules.
  • QuickBooks: Experience in managing schedules, billing, and inventory tracking.
  • Excel: Proficiency in data management, report generation, and tracking orders.
  • Strong interpersonal skills to maintain positive relationships with clients and subcontractors.
  • Detail-oriented approach to ensure accuracy in scheduling and documentation.
Additional Responsibilities
  • Monitor job progress and adjust schedules as needed to accommodate changes or delays.
  • Communicate effectively with vendors regarding material deliveries and status updates.
  • Collaborate with team members to streamline administrative processes and improve overall efficiency.

Pay Details: $50,000.00 to $60,000.00 per year
